Format Information for Bulk Import

Before you can upload a spreadsheet of your users to Prism, it must be formatted based on the guidelines below. You'll also need to download the Properties Bulk Import Template CSV file available via the modal when selecting Properties.

Acceptable formats include CSV and XLS.


Guidelines for Bulk Import

Property Name (Required)

The name of the property

100 character limit, no spaces.

Prudential Building

Street Address (Required)

The address of the property.

City (Required)

The city the property address is located in.

Cities in the USA or International are allowed


State (Required)

The State or Province the property address is located in.

States in the USA or International

  • MA

  • Massachusetts

Zip (Required)

The zip code or country code the property address is located in.

For international addresses, the country code can be specified here.

Country (Required)

The country the property is located in

Abbreviation or full country name is allowed

  • USA

  • United Kingdom

Industry Type (Required)

The type of industry the property is designated as.

  • Commercial Office

  • Commercial

  • Corporate RE

  • Retail

  • Medical Office Building

  • Mixed Use

  • Industrial/WH

  • Residential

  • Service Company

  • Other


External Key

This field can be set with an ID of your choosing. Use it in subsequent imports to update existing records.

If the ID is empty then a new record will be created.

100 character limit, no spaces.


Internal ID1

Unique Building Engines ID assigned to the property.

Use this field only for updating existing records.

You must specify an existing Building Engines property ID in this field which can be found via an export.


Square Footage

The total square footage of the property or building.

Specify only as a numerical value


Number of Floors

Total number of floors of the building or property

Specify only as a numerical value


Custom Fields

Allows for user defined fields to be associated to a property or building.

  • Existing custom fields only

  • Multiple custom fields can be associated by separating them by pipe ( | )

Known Issues or Limitations

1 Internal ID is currently not visible in a bulk export.


Do not save your spreadsheet as a CSV file if it contains lots of UTF-8 characters, such as the accented é in resumé. (Other examples of these "extended" characters include ñ, ü, superscripts, fractions, and currency symbols other than the U.S. dollar, such as the euro symbol €.) Instead, save your file as an XLS.
