Configuring and Utilizing Override Groups for Preventive Schedules
Override groups can be utilized in the Preventive module to prioritize less frequent tasks when like-schedules fire tasks on the same day. Meaning, if an Annual PM task and a Quarterly PM task for a piece of equipment are due to fire on the same day, the Annual PM task will fire off in an active “New” state and the Quarterly PM task will fire off in an inactive “Overridden” state. Lowest frequency will always take precedence for the “Active” task in an override group.
You can setup an override group in two ways;
Firstly, if you are creating the schedules in the UI, you can;
Go through the normal schedule setup process selecting Procedure, Properties, Assignees, etc until you get to the Schedule tab/section.
Once you’ve filled out the other aspects of the schedule, go to the Override Group form in the Additional Details section at the bottom of the Schedule page.
In that form, you’ll be able to either search for an existing Override Group or create a new Override Group by typing in its name here.
Once that and the rest of the schedule information has been filled out, you can click on Preview Schedule and then Start Schedule.
Secondly, if the schedules have already been created in the system if you;
- Navigate to Preventive > Schedules
- Filter down/search for the PM Schedules you would like to add to the Override Group
- In the Search Grid, check the boxes next to the PM Schedules
- That will bring up the grid actions and you can select “Change Override Group”
- From there you can either search for an existing Override Group or enter in a new Override Group and click Save to add those schedules to the group.
When naming override groups, its considered best practice to utilize the name of the equipment you are going to link to the group.
PM tasks that are linked to an Override Group can be restored to New/Open by utilizing the “Change Status” grid action in the PM Tasks grid.
Override group name can’t be edited or removed from the system via the UI. If certain override groups are no longer needed, the Prism support team will need to submit a data change request for engineering to delete or edit those groups.
If a schedule should no longer be in an Override Group, you can either go into the schedule itself and adjust the Override Group to “None” or, from the grid, you can use the “Change Override Group” action to modify multiple schedule’s override groups to “None” in bulk.
