October 23rd, 2024 Release Notes: New Features and Fixes

    Accounting

    • New:
      • Resource Reservations - Generate Invoices for one or more Resource Reservation bookings
        · On the reservation grid, you can now generate an invoice for one or more 'Past' reservations.
        · The 'Accounting' settings for the property now impacts the format of the invoice not only for Work Orders but also for Resource Reservations.

      • Accounting: Vendor Invoice Number Character Limit Update (Image Here)

        • As a result of increased usage of the Vendor Invoice Functionality in Prism we have gone and updated the Character Type and Limit to ensure that all Invoice Numbers can be accepted in Prism.

        • Increase Character Limit to 25

        • Allow for Numbers, Letters and Special Characters

    • Fixes:
      • Corrected issue where tenant company markups were not populating on Labor when Labor rate was chosen before selecting the tenant company

    Bid Management

    • New:
      • Reopening of Vendor Submitted Bids -
        · Bids that are in the "Open", "Past Due", and "Pending Award" may now be reopened and reset to draft status so Bid Users can add to, edit, or otherwise make changes to existing bids without having to re-enter data.
        · Resets vendor reply statuses requiring vendors to respond to the updates made by the Bid User.
      • New Unique ID and Classification fields for Bids -
        · Creates a new public unique Bid ID for the identification of Bid tasks in the Bid Management, Projects, and other Prism modules.
        · Adds a new required field in the Bid details for Bid users to classify the bid as either CAPEX or OPEX for better accountability and reporting.
    • Fixes:
      • Fixed bid comparison Excel export to include all responses
      • Resolved visibility issue for created Vendor Block Lists in Bid Management

    Contracts

    • Fixes:
      • Resolved issue where contracts without associated properties appeared when grid was filtered by property

    Inspections

    • Fixes:
      • Corrected Task Failed Error when printing Inspection PDF

    My Companies

    • New:

      • Vendor Management: Suspend Vendors (Video Here)

        Prism has introduced new functionality for managing vendors, specifically focused on vendor suspension capabilities. The key features include:

        • Vendor Suspension

          · Ability to suspend vendors on a property-by-property basis

          · New "Suspended" column in the My Companies area to easily identify suspended vendors

          · Suspension reasons must be provided and are recorded for future reference

        • Suspension Process

          · Access suspension options through the "Actions" menu for a vendor

          · Select specific properties for suspension or use bulk actions

          · Provide a mandatory reason for suspension

          · Primary contact for the vendor is notified via email about the suspension

        • Impact on Tasks

          · Suspended vendors are visibly marked when assigning work orders

          · Users are warned when trying to assign work to suspended vendors

          · Existing work orders for suspended vendors remain but cannot be worked on by the vendor

        • Vendor Experience

          · Suspended vendors see a banner notification of their status

          · Cannot create new work orders for properties where they are suspended

          · Can still work on properties where they are not suspended

        • Reinstatement Process

          · Easy process to reinstate vendors through the same interface

          · Can reinstate for specific properties or all at once

          · Optional reinstatement reason can be provided

        • Visibility and Filtering

          · Suspended status is visible throughout the system

          · New filtering options to view suspended/non-suspended vendors

        • This new functionality provides more granular control over vendor management, allowing property managers to address compliance issues or performance concerns on a property-specific basis while maintaining vendor relationships across other properties.

      • Resolved "Unknown: Unexpected error occurred during save" error when any value is present in the "Replacement Cost" field of Equipment Import File

    My Properties

    • Fixes:
      • Fixed display issue for buildings with ampersand in name on Welcome Email
      • Corrected state display error where "Wisconsin USA" appeared after updating to "West Island"

    My Users

    • Fixes:
      • Addressed issue allowing duplicate emails in User Uploads, which resulted in incorrect user types and super-admin rights

    Preventative Maintenance

    • Fixes:
      • Addressed PM Schedule Export not respecting filters
      • Fixed crash when selecting more than 9 properties in PM Procedures during export
      • Resolved issue where Prism PM Schedule Import prioritized "Equipment Location Details" over Equipment Name, Asset Type, and Category

    Prism Mobile

    Projects

    • New:

      • Building on the General Availability release of Prism Projects, the new enhancements for custom forms and fields provides better customization options for the Project Managers and users.

        · Adds new permission and interface to edit the six default Project categories account wide
        · Allows users to add custom fields by Project Categories to enrich project details for each project category, including adding numeric, text, and other fields types.

    Reporting

    • Fixes:
      • Updated Inspection and Template Report
      • Updated Overdue Task Report
      • Resolved data discrepancy in Inspection Module Report
      • Corrected incorrect graphs in HVAC Comfort Call Summary Report
      • Fixed Overdue Task Report showing no results

    Resource Reservations

    • New:
      • Generate Invoices for one or more Resource Reservation bookings
        · On the reservation grid, you can now generate an invoice for one or more 'Past' reservations.
        · The 'Accounting' settings for the property now impacts the format of the invoice not only for Work Orders but also for Resource Reservations.
    • Fixes:
      • Fixed permissions issue preventing PMO from editing resources

    Tenant Compliance

    • New:
      • When accessing a tenant compliance task, the following information can now be seen
        · Tenant Company
        · Tenant Contact
        · Primary Contact of the company
        · Suite/s

    Visitor

    • Fixes:
      • Fixed network errors and "Something Went Wrong" issue caused by adding and checking in visitors too quickly
      • Corrected problem where adding different visitor companies for related visitors changed all visitors' companies to be the same

    Work Order 

    • Fixes:

      • Fixed issue with Next Occurrence Column not populating for Work Order Schedules
      • Resolved problem preventing PMO users from uploading files to work orders assigned to vendor companies
