Once you send a bid out to a collection of vendors, you can still make adjustments to that bid without having to start from scratch. Here's what you need to know:

Bids in the following statuses can be reopened and reset to draft status:

Open

Past Due
-
Pending Award

Bids in the following statuses cannot be reopened with this new feature:

Cancelled

Fulfilled

Public Bid IDs have now been added to the bids to provide easy identification for vendors and users.

Bids may now also be classified as either “Opex” or “Capex” for better accountability and tracking
Key Benefits:

Bid Users can add to, edit, or make changes to existing bids without re-entering data.

This feature saves time and reduces the potential for errors when modifications are needed to a bid that has already been sent out to vendors.

Check the Bid Status

Three bids are shown in various states: one open, one pending award, and one in Draft (which is the only state that could be reopened previously).

Aaron's Bid for Bathroom Remodel has been sent out to vendors, but not all have responded yet.

The bids in the “Open” and “Pending Award” state may be reopened for editing by the Bid users.

Select one of them by clicking on the hyperlinked Bid ID (a new feature) or the Bid name, in this example, we’ll select “Aaron’s Bid for Bathroom Remodel”.

Reopen the Bid (All Vendor Bids will be Sent back to “No-Reply” state)

Click on the "Edit Bid" button (bottom left of the page) to reopen the bid.

Confirm the decision to send the bid back to a draft state, requiring vendors to resubmit their responses.

Make Changes
-

Rename the bid and adjust details like properties included and due dates.

Classify the bid as CapEx or OpEx (New Feature)

-
Add or edit questions for vendors and make any other desired changes.

Resend the Bid

Add new vendors if needed.

Preview the changes and resend the bid request to vendors.

Vendor Responses
-

Vendors can submit their proposals with the updated information.

Once submitted, vendors cannot edit their proposals.

Finalize the Bid as Needed

The bid can be reopened even in the Pending Award state if a winner has not been selected.

Note that this feature does not work for fulfilled or cancelled bids.
