Prism's Tenant Compliance module helps you easily manage and complete compliance tasks required by your property management team. This guide will walk you through how to use the feature, common use cases, and important considerations.
How to Access Tenant Compliance Tasks
- Log in to your Prism account.
- Navigate to the "Tenant Compliance" module on the left navigation bar.
- You'll see a list of your assigned compliance tasks.
Completing a Compliance Task
- Click on the ID of the relevant task to open the task page.
- Answer all required questions in the task form.
- As you complete sections, they will be marked as "Completed."
- Once all required questions are answered, click the "Submit" button at the bottom right of the page.
- After submission, the task status will change to "Ready for Review."
Common Use Cases
- Submitting required documentation (e.g., insurance certificates, business licenses)
- Completing periodic safety or maintenance checklists
- Providing updated contact information
- Confirming compliance with lease terms or building regulations
Task Statuses
- New: The task has just been created and assigned to you.
- Open: You have viewed the task but haven't completed it yet.
- Ready for Review: You've submitted the task, and it's awaiting review by the property management team.
- Approved: The property management team has reviewed and approved your submission.
- Denied: The submission was not accepted and may require changes or additional information.
- Closed: The task is complete and can no longer be modified.
Important Considerations
- Permissions: If you cannot access the Tenant Compliance module, contact your property management team to ensure you have the correct permissions.
- Notifications: You may receive email notifications about new tasks, approaching due dates, or when a task status changes. These notifications are configured by your property management team.
- Deadlines: Pay attention to due dates for compliance tasks to avoid any potential lease violations or penalties.
- Attachments: Some tasks may require you to upload documents. Ensure you have these ready in an acceptable file format before starting the task.
- Incomplete Submissions: If your submission is denied, you'll typically be able to revise and resubmit the task. Check for any comments or instructions from the property management team.
- Historical Records: Completed compliance tasks are stored in Prism, allowing you to reference past submissions if needed.
