Setting Up Owner Companies in Prism

Owner Companies in Prism allow you to categorize properties by ownership, enhancing your ability to manage and analyze your property portfolio. This feature enables more precise filtering and reporting, improving decision-making and operational efficiency.

  • Viewing all properties owned by a specific entity
  • Combining owner filters with other attributes (e.g., region, property groups) for detailed analysis
  • Ensuring complete contact information for properties of a particular owner

  • On the My Properties page, you can use the search box and Saved Layouts to filter and find results for a specific Owner.

     

Setting Up Owner Companies

  1. Navigate to 'My Companies'

  2. Click 'Create Company' in the upper right corner

  3. Choose "Owner Company" as the company type

  4. Enter the company details

  5. Assign properties to the owner as desired

  6. Click "Create Company" to save

Step-by-Step: Assigning an Owner Company to a Property via the Property Profile

  1. Navigate to the 'My Properties' section.

  2. Locate the property you want to update. You can use the search function if needed.

  3. Click on the property to open its Property profile.

  4. In the Property profile, locate the 'Building Information' section.

    1. Click on the Edit symbol (usually a pencil icon) next to 'Building Information'.

    2. Find the 'Owner (Optional)' field in the edit form.

    3. Click on the dropdown menu for the 'Owner (Optional)' field.

    4. Select the Owner Company you want to assign from the dropdown list.

  5. Click 'Save' or 'Update' to apply the new Owner to the property.

Step-by-Step: Bulk Updating Properties with an Owner Company

  1. Navigate to the 'My Properties' section.

  2. In the My Properties grid, locate the properties you want to update.

  3. Click the checkboxes next to each property you wish to update. You can select multiple properties.

  4. As soon as you select a checkbox, bulk options will appear at the top of the grid.

    1. From the bulk options, select "Change Owner".

  5. A new interface will appear on the right of bulk options with a "Choose Owner" dropdown menu.

    1. Click on the "Choose Owner" dropdown to see a list of available Owner Companies.

    2. Select the desired Owner Company from the dropdown list.

  6. Click 'Apply' or 'Update' to assign the new Owner to all selected properties.

  7. You can verify the changes by checking the Owner field for the updated properties in the My Properties grid.

This bulk update method is particularly useful when you need to assign the same Owner Company to multiple properties quickly, saving time compared to updating each property individually.

 

Note: Remember that you need to have created the Owner Company beforehand in the 'My Companies' section for it to appear in this dropdown menu.

 

Changes to Grids and Filters

Owner has been added as a filter option in property-related grids throughout Prism

To access the Owner filter:

  1. Navigate to any grid
  2. Click on "Show Filters"
  3. Expand "Property Filters"
  4. Use the Owner filter alongside other property filters

Q: Can a property have multiple owners?

A: Only one Owner per property. 

 

Q: How do I change a property's owner?

A: The same way you would add an Owner to a Company. 

 

Q: Can I convert an existing company to an Owner Company?

A: No, you would have to add a new company in My Companies to create an Owner Copmany.
