Overview
The Returning Visitors feature in Prism equips security teams with improved awareness of who has previously visited the property and provides better control over premier access capabilities. This feature is particularly valuable for high-security locations such as government facilities or offices with high-profile tenants.
Key Benefits
- Enhanced security measures
- Streamlined visitor management
- Improved control over premier access
- Reduced workload for property management teams
How It Works
Visitor Types
Prism now distinguishes between two types of visitors:
- First Time Visitors: Individuals likely visiting the property for the first time.
- Returning Visitors: Individuals who have likely visited the property before.
Prism automatically detects visitor status based on First Name, Last Name, Email Address, Phone Number, and the property being visited. Email Address and/or Phone Number matches always result in a returning visitor match, regardless of name matching.
Becoming a Returning Visitor
A First Time visitor is converted to a Returning Visitor for a property when:
- A user with "Can Manage Returning Visitor" permission checks them in.
- A user with "Can Manage Returning Visitor" permission adds them to the 'Returning' tab.
Creating Returning Visitors
- Go to the 'Returning' tab in the Visitors module
- Click "Add Returning"
- Fill in the visitor's information (Email Address & Phone Number are highly recommended for accurate matching)
- Add properties for which this visitor will be a "Returning" visitor
- Click 'Save'
Property Settings: Visitor Access
A new property-level setting called 'Premier Access for Returning Visitors Only' has been introduced under 'Visitor Access'. This setting allows premier visitors only if they are classified as 'returning visitors'.
When Enabled:
- Returning visitors: Will receive an email on the day of their visit to check in and get their badge.
- First-time visitors: Will not receive an email on the day of their visit but will receive one after their first visit.
Property management team members can override this on a visitor level by marking a 'first time' visitor as 'returning'.
When Disabled:
All visitors with Premier Access will receive an email on the day of their visit to check in and get their badge.
New Permissions
- Can View All Returning Visitor: Allows users to view the grid and pages of returning visitors for properties they have access to.
- Can View My Returning Visitor: Allows users to view the grid and pages of returning visitors they've added or registered.
- Can Manage Returning Visitors: Enables users to add and manage returning visitors for properties they have access to. This permission is only available for Management Organization type.
Additional Updates
- A new 'Property Status' column in the 'Visitors' grid indicates whether a visitor is Watchlist, First Time, or Returning.
- Watchlist status takes precedence over First Time or Returning status.
- The watchlist caution icon has been replaced by the new status indicator.
- Visitor notifications have been updated to reflect these changes.
Note: This update does not migrate previously created visitors to returning visitor status. All existing visitors will be treated as "First Time" unless explicitly added to the Returning tab.
