This article provides a comprehensive guide on managing property impairments in Prism. Mark properties as impaired and notify appropriate parties of expected resolution dates/times. This will provide the property management team with a tool to be fully informed on areas within a property that may be at a higher risk for tenant safety. Permission Requirements:
- “Can View Impairments”: Allows user to view an active impairment within the property page and view impairment grid
- “Can Manage Impairments”: Allows user create and resolve impairments
To get there:
- Navigate to My Properties
- Impairments grid
- Property page Create Impairment
- View active impairments on property page
- Notifications:
- When property becomes impaired
- When property impairment is resolved
- When a property impairment is passed the expected resolution date/time
- When a property impairment is 30 minutes away from the expected resolution date/time
- Property impairment digest (sends at the 5pm the user’s local time. It is a list of their properties with active impairments tied to them.
Create Impairment on Property Page
- Go to "My Properties" in PRISM.
- Select the property you want to mark as impaired.
- In the Actions drop-down menu, click on "Report Impairment."
- Choose an impairment type from the default list.
- Add an optional description for the impairment.
- Enter the expected resolution date and time (based on the building's time zone).
- Add any additional details or contact information in the provided field.
- If the impairment is impacting specific locations/equipment within the building, toggle on the “Apply to floor and spaces” toggle and/or the “Apply to equipment” toggle. Once the section is toggled on, it is required to enter in the information or toggle off before saving the impairment record
- Choose the floors, spaces and/or equipment that pertain to the impairment
- If you want to remove a floor/space, simply click on the name of the floor and/or space to unselect the option
- If you want to remove previously chosen equipment, click on the delete button
- Choose the floors, spaces and/or equipment that pertain to the impairment
- Click "Report Impairment" to create the impairment.
- The property page will update to show an impairment chip at the top and display impairment details in a blue box.
- This information will also appear on any applicable floor/space within My Spaces and/or equipment records within My Equipment. Once the impairment is resolved that information will no longer appear within those individual records.
Edit/Resolve Active Impairments
- From the My Properties>Impairments grid, click the three dots next to the impairment.
- Select "Resolve Impairment."
- Update the expected resolution date/time information if needed or click "Resolve Impairment" to complete the process.
View Active/Resolved Impairments in 2 Ways

View Active/Resolved Impairments on the My Properties Grid
- Go to My Properties.
- Click on the "Impairments" tab.
- Use filters to view active or resolved impairments.
- Click on an impairment to view more details or manage it.
- Use the three dots to resolve an impairment within the grid itself.
- In the top right corner, select Actions to export the information from the grid
View Active/Resolved Impairments within the Property Page
- Go to My Properties.
- Select the property you want to mark as impaired.
- In the Actions drop-down menu, click on "Resolve Impairment"
Impairments Mobile
Create A New Impairment –
- Tap on the Properties row below Task Schedule
- You will then land on the Property list page. Any properties with an active impairment will have the gold ‘impaired’ status chip.
- Select the Property you want to mark as Impaired.
- Upon landing on details page, select Report Impairment to begin impairment process
- Complete the Report impairment form, Fields include:

- Impairment type (Drop down list) - required.
- Floors and spaces (Drop down list) - optional.
- Add equipment (Drop down & multi-select list) - optional.
- Description of impairment (text field) - optional.
- Expected Resolution date (date picker) - required.
- Expected resolution time (time picker) - required.
- Additional details (text field) - optional.

- Once form is completed hit “Next', to open a bottom sheet (Confirm Impairment)

- Review the information, if any info needs to be changed hit cancel which will take you back to edit the form.

- If the details are correct, hit ‘Confirm' button.
- When successful you will land on the property details page and see a blue card with the impairment details, submitted on the form.

- As the card can have a lot of details, it is in the collapsed state by default. Hit ‘Show more” and the card will expand to show everything.
- If the user goes to the property list page, (step 2) an ‘Impaired’ status chip will be on the that property.

Edit Existing Impairment -
- If resolution date or resolution time needs to be updated tap on the ‘Edit Impairment’ button below the resolve impairment CTA.
- This will re-open the form which allows the user to edit ONLY the resolution date and time. Other fields type, description, and additional details not editable.
- Once changes are made hit Save.
- If a change to either resolution date or time, those changes will be visible on the blue card.
Resolve Active Impairment -
- When it's time to resolve an impairment; Tap on ‘Resolve impairment’ via the blue card
- Opening of the Resolve Impairment form, you will see original information submitted
- Enter the true resolution date and time.
- Current date and time will be set by default.
- Allows to enter a past date & time if resolved at an earlier date/time. *However, the resolution date and time must be after the created date and time. *
- Resolution date (date picker) - required field.
- Resolution time (time picker) - required field.
- Click confirm, and the impairment will be resolved.
- You will return to the property details page (#3).
- The blue card will no longer be visible and there will be a row at the bottom of the page showing the impairment was resolved.
- That row will be visible for 30 days.
