This guide will walk you through how to Complete a Task on Prism Desktop. If you are looking to Complete a task on Prism Mobile, please refer to the following Guide: Prism Mobile - Preventive Maintenance
Go to Preventive and click into a task
At the top of the task, you can see most of the general information for the task, such as:
Start and Due Dates
Frequency
Task Details
Equipment Details
(If any equipment details need to be added, for example Manufacturer, Serial Number, Model, and Equipment Location, that can be done at the equipment profile level under My Equipment. If any task info needs to be updated, for example frequency, Start/Due Date, Location, and Assignee, that can be updated at the Schedule Level under Preventive)
Further down on the task, there will be a set of tabs you can choose from. The Steps one will list out all the steps you need to complete in order to Complete the task. There is also a Photo section where you can upload any photos you want to attach to the task.
If any of the steps need to be updated, that can be done at the Schedules or Procedures tab.
At the bottom of the task, there is a precent tracker that will show you how much of the task you have already completed. Each answer will automatically save, so if you need to leave the task without finishing all of the steps, you can do so without loosing any work.
Under the Notes and Parts tabs, that is where any information you may need to complete the tasks will be stored. Those Notes and Parts sections can be updated under the Schedules tab, or the Procedures tab.
Under the Files tab, you can see any photos and documents that have been added to the task. You can also add new files there as well.
Any file you enter in on the task itself will only show on that specific task. If you want a photo or document to be automatically added to every task that fires out, you would update that at the Schedules or Procedures tab.
Under the Labor and Materials Tab, you can enter in any costs that need to be tracked.
Under the Work Orders tab, you can create a new work order from inside the tasks that will automatically be linked back to this specific task. For example, if you are going through all of the listed steps and you find that something is broken or needs to be fixed, you can enter in a work order right from the task. Any work order created from the task will also be listed here for tracking purposes as well.
On the right-hand side of the task, you will see a History section where you can see all of the actions taken on the task. You can also add comments to the task if needed.
Once you have finished the task, you can click on Complete This Task in the bottom right and it will mark the task as Completed.
(If there are required questions that have not been answered before you click Complete This Task, a message will appear to let you know to finish answering the steps before Completing)
