General

  • Hide Unnecessary Issue Types! As a user who can Configure Issue Types you now can hide issue types for specific properties
  • Grant or Remove Access to All of your properties with one click! As a user who can manage companies and their users you now can grant or remove all property access with a click of a button.
  • Want to allow your tenants to view your property information? No problem! Users who do not have permission to create or edit your properties now can view the information pertaining to your property.
  • Want to allow your team to view your tenant and vendor company information? No problem! Users who do not have permission to create or edit companies for your properties can view the information in read only from the “My Companies” grid.
  • New navigation for Issue Type Configuration! See what defaults are in place for the account the new “Account” tab. These defaults will apply to all properties that have not been configured at the property level. You can now easily configure your issue types by property using the new “Property” tab.
  • Working on a large account with multiple property management organization (PMO)? You can now distribute administration to each company. This allows each organization to control settings in their own buildings but not overreach. 
    • Labor rates can be separated to apply to only one PMO within the organization, or across all PMOs.
    • You can see which PMO created the tenant or vendor company on the My Companies Grid
  • New grid exports! You can export your companies and users from their respective grids.

Work Order

  • Acknowledge! Now you can see when your assignee has “Acknowledged” a work order. When assigning a work order, your assignee can now acknowledge the work. You will see the timestamp in the history of the workorder as well as in a new column on the work order grid.
    • A work order is auto acknowledged if a user creates a work order and assigns it to themselves. The acknowledge time stamp is the time the work order was created.  The assignee will need to manually change the status from new to open.
    • A work order is auto acknowledged if a user reassigns work to themselves. The acknowledge time stamp is the time the work order was reassigned.
    • The acknowledge button is visible for an assignee that is not aware of the work assigned to them. Once the assignee acknowledges the work order, the status will change from new to open.
    • The acknowledge button is visible if a work order is acknowledged and reassigned. The new assignee will see the acknowledge button and need to acknowledge the work order.
  • Don’t let work fall through the cracks! A new card for “Unacknowledged” work orders has been added to the main dashboard. Work that was created and not acknowledged for 30 minutes will display on this card.
  • Keep track of where your work is coming from! Easily identify who requested the work or who got assigned the work by first and last name in the grids. 
  • Teamwork makes the dream work! As an user with the permission “Can Manage User Teams”, you can now create a team of assignable users. Go to the “My Users” Grid and the “Teams” tab to do so. Once a team is created you can configure your issue types to auto assign to a team. You can also assign/reassign a work order to the team. This will allow all members within the team to be notified about the work order. Individual members of the team can pick up the work order and place it in their queue via the web or mobile.
  • On hold reasons! When Work Orders are put On Hold, there is usually a good reason. Now you can explain to your users what those reasons are. When a user puts a Work Order On Hold, Prism now requires a comment. A pre-defined list of reasons makes it easy to provide useful information and get back to work quickly.

Preventive Maintenance

  • Balance your team’s workload! Re-assign open Preventive Maintenance Tasks from one user to another. This way no one user is overloaded.
  • Information right at your fingertips! Hierarchical assignee menus on maintenance Tasks and Schedules make it easier to find the right team member or vendor for the job.
  • Procedure library is here! Manage maintenance procedures for your entire portfolio of properties in one place, with the Procedure Library. Use the Procedure Library to standardize best practices across your portfolio and enable engineers to share knowledge. Users with permission can create and edit Procedures. Anyone with permission to schedule maintenance can simply select a Procedure from the library on their Schedules.

Mobile

  • Acknowledge on the go! Tap “Acknowledge” on new Work Orders to let your Tenant know that you’ve got this! The acknowledge button changes the Work Order status to Open so everyone knows you are aware of the assignment and intend to get the job done.
  • Overcommitted? Users with the Reassign Work Orders permission can reassign from Prism mobile. This is handy for team leads who wants to triage new Work Orders.
  • Ready for more? Just tap Assign to me to pick up (and acknowledge) a new Work Order.
  • Teamwork makes the dream work on Mobile too! Now your Prism Mobile work list includes Work Orders that are assigned to the Teams that you belong to. Any team member can tap Assign to me to pick up (and acknowledge) the new Work Order.
  • On hold reasons on the go! When Work Orders are put On Hold, there is usually a good reason. Now you can capture that information from Prism Mobile. When a user puts a Work Order On Hold, Prism Mobile now requires a comment. A pre-defined list of reasons makes it easy to provide useful information and get back to work quickly.

Reports

  • New Reports! Equipment Meter Readings Report is now available to help track and analyze the data your team collects while performing Preventive Maintenance on equipment.
