This article explains the process and implications of manually overriding the compliance status of Certificates of Insurance (COIs) in Prism. The recent update ensures that manual overrides are immediately applied, updating the Compliance Override status to 'Yes' and changing the Compliance Status from Non-Compliant to Compliant where appropriate.
Accessing Compliance Override
- In Prism Insurance, Open the Certificate: Navigate to the specific Certificate of Insurance you wish to override.
- Scroll to "Compliance Details": Scroll down to the "Compliance Details" section of the certificate.
- Click "Compliance Override": Locate and click the "Compliance Override" button.

- This button is available in the Compliance Details section of the Certificate; it is not available on the Edit page.
- Compliance Overrides will no longer affect Approval Status, ensuring independent handling of certificate statuses.

Using the Compliance Override Feature
After clicking the "Compliance Override" button, a modal window will appear, as shown in the reference image.
- Select Properties: In the "Properties" dropdown menu, choose the specific properties for which you want to override the compliance profile.
- All Properties Checkbox: Alternatively, check the "All Properties" box to apply the override to all properties associated with the certificate.
- Add Override Notes: Enter a note in the "Override Notes" text box. Providing a reason for the override helps maintain transparency and context.
- Save Certificate: Finally, click the "Save Certificate" button to save your compliance override settings.

Key Points:
- Immediate Application: Manual overrides are now applied immediately to COIs, ensuring that the Compliance Override status is updated to 'Yes' and the Compliance Status is adjusted accordingly.
- Override Conditions:
- A certificate cannot be overridden and expired simultaneously.
- A certificate remains overridden until it expires.
- If a certificate contains multiple non-compliant properties and only one property is overridden, the status of the certificate, organization, and building will remain non-compliant.

- If a certificate contains a single non-compliant property and that property is overridden, the status of the certificate, organization, and building will be compliant.
Additional Technical Acceptance Criteria:
- Certificate Expiry: Overrides cannot be applied to expired certificates.
- Multiple Properties: For certificates with multiple properties, all must be overridden for the overall status to change to compliant.
- Single Property: For certificates with a single property, overriding that property will change the overall status to compliant.
These updates ensure that compliance statuses reflect the most current and accurate information, providing clarity and consistency across the system.
