This guide explains when and why reservations need approval in Prism, and how to ensure your team can book resources smoothly.
What Triggers Approval Requirements?
Prism may require approval for reservations in two situations:
- When there are charges involved - Some reservations cost money
- When management approval is required - Some resources need manager sign-off
The Two Types of Approval
Tenant Approval (Internal Company Approval)
This happens when:
- Reservation has a cost attached
- User account doesn't have permission to book reservations with charges
What you'll see: "Pending Tenant Approval" status
Management Approval (Property Management Approval)
This happens when:
- The resource requires property management approval (set by management team)
What you'll see: "Pending PMO Approval" status
Troubleshooting Common Issues
"My reservation is stuck in 'Pending Tenant Approval'"
What this means: Your reservation has charges, but your account doesn't have permission to book paid reservations.
How to fix it:
- Contact your tenant admin, or a user with "Can Approve Reservations" permissions, and request they approve your reservation
- Alternatively, ask the tenant admin or property management to add "Can Submit Reservation with Charges" permission to your account
- They'll need to update your user permissions in Prism
"All my reservations need management approval"
What this means: The resources you're trying to book are set to always require manager approval.
How to fix it:
- Contact your property management team to approve the reservation
- Ask property management if the approval requirement can be removed if it's not necessary
Best Practices for Smooth Reservations
