General

  • New: Work Order Forms
    • Create custom questions to be added to Work Orders for completion during the work order lifecycle.
    • Work Order forms can be applied to specific issue types.
    • By question, they can be made Tenant Visible or not.
    • By question, they can be indicated as Accounting Related.
    • By question, they can be indicated at Required.
    • You can add a form to be shown on the creation of a work order.
    • You can add a form to be shown on the completion of a work order.
    • At the moment, you can only see responses to one of the forms at a time; so we recommend using only create or complete forms.
    • Form fields can be added to the Work Order grid, but responses are not yet populating.
  • New: Grid Filter
    • Users now will see a new grid filter that will appear on the right-hand side of the grids within Prism.
  • Fix: Grid Improvements
    • We addressed issues where rows of data within the Preventive and User grids were visually duplicating information.

Accounting

  • New: Publish Invoices to Files
    • Within the Batches grid, once users have locked a batch and downloaded its contents, invoices can now be generated as a download or they can be published to the Files module.

Admin

  • Fix: Notifications
    • We addressed an issue where notifications to Vendor Companies were not being distributed.

Communications

  • Fix: Audiences
    • We addressed an issue where users were receiving error messages when trying to edit an audience.

Mobile

Android - Version 1.51

  • New: Readings on PM Tasks
    • Users now have the ability to add and edit Readings on PM tasks.
  • New: Send Communications
    • Users now have the ability to send messages from mobile.
  • New: Communications
    • Users can now:
      • View messages in a List view.
      • View full message details.
      • Download and view message attachments.
  • New: Pin Locations
    • Users now have the ability to add, edit, and remove Pin locations on Work Order floor plans.
  • New: File Hyperlinks
    • Users now have the ability to view URL files and open hyperlinks in the device's browser.
  • Fix: Inspections
    • We addressed some general bug fixes with Inspections.

iOS - Version 1.55

My Files

  • New: Bulk Importing Contracts & Certificates 
    • Users now have the ability to import Contracts and Certificates of Insurance into Prism through Admin and My Companies.
    • A downloadable CSV template is available in these pages.
  • New: Association Filter 
    • Users now have the ability to filter the My Files list by its respective affiliation.
  • Change: My Files Defaulting
    • On the My Files page, by default, we are not showing Files that are on Work Orders, PM Tasks, Inspections, Equipment, Procedures, Templates, and Communication messages.
  • New: Importing Files with Tags
    • Users now have the ability to apply Tags to the Files import template for each file listed.
  • New: Filtering by File Type
    • Users now have the ability to filter the My Files grid by a specific file type.
  • New: Filtering
    • Users now have the ability to apply filters to the Files grid to further refine the information they are looking for.
  • New: Bulk Editing Categories
    • Users now have the ability to bulk edit File categories via the grid.
  • New: Importing Files
    • Users can import multiple files contained in a zip file by navigating to the Actions, Import Files option.
      • If the zip file contains only files to be uploaded, the system will default the:
        • Photos and Videos will be automatically categorized as photo or video, all other files will have the category Other.
        • Tenant Visible to no.
      • The user can upload additional metadata about the files by downloading the template file as a part of the import files option. This template allows the user to describe the name of the file, the Category, Tenant Visible indicator, and Notes that describe the file. The template should be included inside the zip file together with the files to be uploaded.
      • Using the template, the user can also bulk import shortcuts to files by entering their URL.
      • If the user includes an External Key, then the new file will replace the previously uploaded file that has the same External Key.
    • Users can view the different places in Prism that are associated with a given file. 
      • In the Files list, select the details button for the file you are interested in. You can view all the areas in Prism that link to that file. For example, the file may be attached to Work Orders, PM procedures or Tasks, Companies, Buildings, etc.
      • Users can also remove associations.

My Properties

  • Fix: Remittance Invoice Settings
    • We addressed an issue where remittance information could not be saved within the profile of specific building record. 

Preventive

  • Fix: Date Scheduled Filter Not Working
    • We addressed an issue where the Date Scheduled filter was not working properly in the grid.

Reporting

  • New: Reporting Grid
    • Within the Reporting module, all report options have been moved from a drop-down menu, to listing each option in the grid of this module.  In the grid, for each option, you will see:
      • Report Name
      • Report Type
      • Author
      • Last Run
    • When clicking into a specific report from the grid, once the report has opened, you can adjust the filters on that report and it will retain those filters the next time you again navigate to that report.
    • Within the grid, you also have the ability to clone a report, in which the user who created the clone will display as the Author of that report.  Reports that are cloned are only visible to the user who created the duplicate.
  • New: Executive Report
    • A new executive report has been created entitled Account Engagement Summary Report. Perfect for executives, users can see high level metrics about the account as a whole, as well as achievement for various areas, including:
      • User Adoption
      • Work Orders
      • Preventive Maintenance
      • Inspections
      • Resource Reservations
      • Visitor Access
    • This report can be filtered by a specific timeframe and is a compilation of all buildings included in the portfolio.

Resource Reservations

  • New: Calendar View
    • Users now have a new calendar view of upcoming and past reservations available to them.  They can create a reservation directly from the calendar with one click. 
    • When in the calendar, you can click on the reservation for a quick view of reservation details. 
    • Users can also toggle between the calendar visual and a more data driven grid view.

Space Management

  • Fix: Spaces Appearing on Work Orders
    • We addressed an issue were recently added spaces were not appearing on Work Orders.

Work Orders

  • Fix: Date Scheduled Filter Not Working
    • We addressed an issue where the Date Scheduled filter was not working properly in the grid.
  • Fix: Spaces Not Showing on Work Order Creation
    • We addressed an issue where spaces were not showering and rendering properly when entering a new Work Order.
  • New: Related Column
    • Within the Work Order grid, a Related column now appears in which the user can view linked Related and Duplicate Work Orders. 
  • New: Generating Invoices from Work Order Grid
    • Once a Work Order that has charges associated with it has been closed and the batch has been generated, a user can select one or more Work Orders from the grid to generate invoices.
  • New: Related Work
    • When in a Work Order, a Related Work tab will appear at the bottom of the screen that will allow the user to add a Work Order that should be associated to the Work Order you are currently viewing/editing.  You have the option to create a new Work Order or choose an existing Work Order within this feature. 
    • Once Work Orders are related, the status change of a Work Order will update the status of the linked Work Orders.
  • New: Duplicate Work
    • When a user submits a Work Order and it is based upon the same Location and Issue Type of a previously submitted Work Order, this record will appear under the Related Work tab as a "Possible Duplicate." Users will then be able to either:
      • Confirm it's a Duplicate
      • Confirm it should actually just be Related
      • Remove the Unrelated Work Order
  • New: Adding Files Upon Work Order Creation
    • Users now have the ability when creating Work Orders to be able to add files from the creation screen.
