Bulk Import for Watch Lists (Visitor Management)
Import your entire watch list in bulk when onboarding a new building or updating security screening records.
Previously, watch list entries had to be added one at a time, making it slow and error-prone to set up security screening for a new property.
How to use it:
- Go to the Import section during onboarding
- Select Watch List as your import module
- Upload your watch list file
Why it matters: Security screening is now in place from day one of a new building, rather than being built up manually over time.
Push Notifications for Reservations (Tenant Mobile App)
Receive instant notifications on your mobile device for important visitor and resource reservation events.
You'll now get alerts for:
- Reservation approved, denied, or cancelled
- Day-before and day-of reminders
- Visitor checked in, checked out, or cancelled
Previously, you had to open the app or wait for an email to learn about these updates, which led to missed reservations and unannounced visitors.
Why it matters: You stay informed without checking the app, reducing no-shows and last-minute surprises at the front desk.
Find & Replace Tool (Admin)
What you can now do: Search for any value across your portfolio and replace it everywhere it appears—all in one action.
Previously, correcting a misspelled vendor name, outdated contact, or renamed space meant finding and editing each record individually. On large portfolios, this could take hours.
How to use it:
- Navigate to the Admin section in Prism
- Select Find & Replace
- Enter the value you want to find
- Review where it appears across your records
- Replace it across all matching records with a single click
Why it matters: Corrections that used to take an afternoon now take minutes. Your data stays consistent because no record gets missed.
Enhancements
Company ID Added to Vendor Contact Reports
What's improved: The Audit Vendor Contacts report now includes Company ID alongside company names.
Before: Reconciling vendor contacts against another system meant matching by name alone, which was unreliable when names were similar or duplicated.
After: You can now reconcile or import vendor contacts directly using the unique Company ID, eliminating ambiguity and manual name matching.
Why it matters: Vendor audits are faster and more accurate, especially when managing multiple vendors with similar names.
Internal ID Tracking Across Modules
What's improved: You can now view and filter by internal system identifiers across Work Orders, Projects, and Vendor Spend.
What you'll see:
- Work Orders: Property Internal ID, Assignee Company Internal ID
- Projects: Property Internal IDs (for multiple properties), Company Internal ID
- Vendor Spend: Vendor Company Internal ID
These new columns are visible by default, and you can sort, filter, and configure them to match your workflow.
Why it matters: Cross-system reconciliation and data integration are now simpler and more reliable. You can quickly identify and trace records using unique identifiers.
Zero Percent Markup Now Supported
What's improved: You can now explicitly set a markup to 0% when a tenant, vendor, or PMO agreement requires exact cost pass-through.
Before: The system treated zero the same as a blank field, so you couldn't distinguish between "no markup set" and "intentional zero markup." This forced manual workarounds for cost pass-through agreements.
After: "No Markup Set" means no markup was configured. "0%" means you intentionally set the markup to zero. The system now saves and respects this distinction across labor, materials, and resource charges.
Migration notes: Any company that previously had no markup configured will now display "No Markup Set" to accurately reflect its current state.
Why it matters: You can now manage cost pass-through agreements directly in Prism without workarounds or confusion.
Cleaner Equipment Imports
What's improved: Equipment imports now handle data more reliably by automatically trimming extra spaces and correctly routing "All Floors" entries.
Before: Trailing spaces in equipment names created duplicates or caused rows to fail. Equipment marked for "All Floors" didn't land in the right location, requiring cleanup after onboarding.
After: More rows import successfully on the first attempt, with fewer duplicates and better placement.
Why it matters: Onboarding a portfolio is faster and cleaner, with less manual correction needed after the import.
Fixes
Property Files Not Loading
What was happening: Property files failed to load or display correctly in some accounts.
What's fixed: Files now load properly and are accessible as expected.
Work Order Exports Missing Key Columns
What was happening: When exporting visible columns from the Work Order grid, the Created Date and Assignee Email columns were missing from the export file.
What's fixed: Both columns are now included when you export visible columns from the Work Order grid.
Property Filter Not Working in Resource Reservation Calendar
What was happening: The property filter in the Resource Reservation calendar view didn't restrict the displayed reservations, showing results across all properties instead.
What's fixed: The property filter now correctly limits the calendar view to show only reservations for the selected property.
Vendors Unable to View Work Orders from Their Own Company
What was happening: Vendor users couldn't see work orders assigned to their own company in Prism.
What's fixed: Vendors can now view all work orders assigned to their company as intended.
Inconsistent Status Capitalization in Work Order Exports
What was happening: Work order status appeared as "Open" and "Closed" in the grid, but exported as "open" and "closed" in lowercase, causing inconsistencies in reporting.
What's fixed: Work order status now exports with consistent capitalization matching what you see in the grid.
Preventive Maintenance Schedules Exporting Incorrectly
What was happening:
- PM schedules with no default assignee weren't pulling property-level assignees into exports
- Some PM schedules exported multiple rows even when only one equipment item was assigned
What's fixed: Both issues have been resolved. Exports now correctly include property-level assignees and display one row per equipment item.
Prism AI Dashboard Card Not Appearing
What was happening: For some accounts with the Prism AI module enabled, the dashboard card wasn't displaying.
What's fixed: The Prism AI dashboard card now appears for all accounts with the module enabled.
Non-US Addresses Not Updating Throughout Prism
What was happening: When you updated a non-US address in one area of Prism, the change didn't carry through to all related records.
What's fixed: Address updates now propagate correctly across all areas of Prism, regardless of address format.
Files Submitted to Tenant Compliance Tasks Not Appearing in My Files
What was happening: Files you submitted to tenant compliance tasks weren't showing up in the My Files section, making them hard to locate later.
What's fixed: Files submitted to tenant compliance tasks now appear in My Files as expected.
Audit Vendor Contacts Report Error
What was happening: Attempting to download the Audit Tenant/Vendor Contacts report resulted in an error and a blank file.
What's fixed: The report now downloads successfully with complete data.
Distribution List Issues
What was happening: Creating distribution lists or adding/removing users from the My Users grid didn't work properly.
What's fixed: You can now create distribution lists and manage user membership without issues.
SMS Character Validation Error with Images
What was happening: Sending SMS messages through Communications with images included triggered a character validation error.
